About the role

Part-Time Inventory Operations Associate

Description

The Inventory Operations Associate supports the Planning & Allocation Manager across the full inventory-room-to-channel workflow: pulling inventory for allocation runs to retail stores, wholesale partners, trunk shows, and ecommerce fulfillment, and keeping the inventory room organized for efficient execution. The role provides day-to-day capacity that lets HART allocate faster, more accurately, and with less bottleneck than a single person could handle alone.

Cross-trained with the Packaging Operations Associate so that either role can step into the other during absence, following the same coverage-first pattern used by the Floor Leads. The right candidate is detail-oriented, physically capable, comfortable following well-defined allocation and QC processes, and adaptable enough to shift between inventory allocation and quality-side work on any given day.

Key Responsibilities

Inventory Allocation Support (Primary)

  • Support the Planning & Allocation Manager on day-to-day allocation runs to retail stores, wholesale partners, trunk shows, and ecommerce fulfillment.

  • Pull inventory accurately against pick lists, stage for shipment, and confirm SKU counts and bin locations before hand-off.

  • Support outbound-shipment pack-out for store allocation runs, working under the Planning & Allocation Manager’s direction as the primary owner of that workflow.

  • Provide additional hands during high-volume allocation windows (new store openings, seasonal launches, wholesale ship-outs, holiday runs).

Inventory Room Organization

  • Maintain the primary inventory room in a well-organized, well-stocked, and correctly-binned state so that pulls execute cleanly.

  • Support ongoing bin optimization work led by the Operations Coordinator (Inventory & Quality Control) including reorganization ahead of major launches or seasonal cycles.

Secondary Support to Operations Coordinator - Inventory & Quality Control

  • Provide as-needed capacity to the Coordinator on QC audits, post-QC intake, and bin allocation work during high-volume intake windows.

  • Secondary support is coordinated through the primary working partner (Planning & Allocation Manager), not scheduled directly by the Coordinator, protecting primary allocation commitments.

  • Peak-window override: during pre-declared inbound-heavy windows (new product launches, seasonal drops, major vendor shipments), the Coordinator's priorities take precedence for the duration of that window. Peak windows are declared jointly by the Coordinator and the Planning & Allocation Manager in advance, so that primary allocation commitments are re-sequenced rather than surprised.

Coverage & Cross-Training

  • Cross-trained on the Packaging Operations Associate's core workflows to enable coverage during that role's PTO or absence. Minimum monthly rotation or shadowing to maintain proficiency.

  • Serves as day-to-day operational backup for the Coordinator during the Coordinator's planned or extended absence. If both the Coordinator and this role are out simultaneously, Coordinator coverage escalates to the Head of CX & Fulfillment.Qualifications:

Qualifications

  • 1–3+ years in warehouse, inventory, retail stockroom, fulfillment, or comparable hands-on operational roles.

  • Careful, detail-oriented eye, able to follow allocation pick lists and QC checklists accurately and consistently across large volumes of small-item inventory.

  • Adaptable and comfortable moving between different types of work in a single shift (allocation pulls, inventory room organization, QC support, intake).

  • Reliable communicator, comfortable escalating quickly when something is off-pick, off-spec, or the workflow needs the Manager's or Coordinator's input.

Physical requirements: Frequent moving of boxes and inventory containers weighing up to 50 pounds across HQ and adjacent storage locations. Standing, bending, and reaching for extended periods during allocation, intake, and inventory-room work.

Reports to: Head of CX & Fulfillment (Fulfillment & Customer Service Manager)
